Terms and Conditions

1. Booking Confirmation

By booking a retreat with Holly Rigby, you agree to abide by these terms and conditions.
Your booking is confirmed upon receipt of the deposit as specified in the booking process.

2. Deposit

A non-refundable deposit of £175 is required to secure your booking. The remaining balance is due 8 weeks before the start date of the retreat.
Full payment will be made via Squarespace.

3. Cancellation Policy

3.1 If you need to cancel your booking, please notify us in writing as soon as possible.
Cancellations made eight weeks or more prior to the start date of the retreat will incur the loss of the deposit.
Cancellations made less than eight weeks before the start date of the retreat will result in the loss of the full payment.

3.2 Retreat bookings are non-transferable. If you are unable to attend the retreat you have booked, your place cannot be transferred to another retreat date.

3.3 We strongly recommend that you take out your own travel insurance in case you need to cancel due to illness or unforeseen circumstances. We are unable to offer refunds to participants who experience travel delays, including those caused by strike action.

We wish we could offer refunds to everyone who asks for compensation in relation to illness, family emergencies, bereavement, injury, or other unexpected circumstances. However, as a small independent retreat business we are not able to underwrite these kinds of costs, and therefore our cancellation policy is non-negotiable.

3.4 If a retreat is fully booked, we may at our discretion attempt to re-sell your place to someone on the waiting list. If your place is successfully re-sold, you will still incur the loss of the £175 deposit.

4. Illness During a Retreat

If you develop symptoms of an infectious illness during the retreat, you may be asked to self-isolate and return home as soon as possible in order to protect other participants.

Unfortunately, we are unable to offer refunds in cases where a participant must leave early due to illness. Please see section 3.3 regarding travel insurance.

5. Booking Form and Health Information

After booking, participants will receive a confidential booking form requesting information about any relevant physical or mental health considerations, accessibility needs, and dietary requirements. This information helps us prepare and create a supportive retreat environment.

The form should be submitted as soon as possible after booking, and no later than two weeks before the retreat begins. If the form has not been completed by this time, we may not be able to offer you a place on the retreat and no refund can be offered.

If you are currently supported by a community mental health care team, we ask that you check with a therapist, psychiatric nurse, or other relevant professional to ensure that attending a retreat is appropriate for you at this time. We may contact you to discuss this further.

6. Retreat Cancellation and Changes

6.1 Holly Rigby reserves the right to cancel, reschedule, or make reasonable changes to a retreat if necessary. This may be due to insufficient participant numbers, facilitator illness, venue issues, or other circumstances beyond our control.

6.2 Host Illness and Programme Continuity
In the unlikely event that Holly Rigby is unable to attend due to illness or circumstances beyond her control, we reserve the right to:

  • provide a suitably qualified replacement facilitator

  • adapt the retreat programme as needed

  • or reschedule the retreat to a later date

In such circumstances, the retreat will still be considered fulfilled, and refunds will not be issued. If a retreat is rescheduled, participants will be offered a place on the new date or credit towards a future retreat.

6.3 In the event that a retreat must be cancelled entirely by Holly Rigby, all payments made will be transferred to a future retreat or issued as credit. Refunds will only be provided where required by law.

6.4 Guest Tutor Substitution
In rare circumstances where a named guest tutor is unable to attend due to illness or other unforeseen circumstances, Holly Rigby reserves the right to substitute another suitable guest tutor. This will not be considered grounds for cancellation or refund.

6.5 Holly Rigby cannot accept liability for any additional costs incurred by participants in relation to the retreat beyond the retreat fee. This may include, but is not limited to, travel costs, accommodation, or other related expenses.

7. Conduct

Participants are expected to conduct themselves in a respectful manner towards fellow participants, staff, and property at all times.

Holly Rigby reserves the right to ask any participant to leave the retreat if their behaviour is deemed disruptive or inappropriate, without refund.

8. Health, Safety and Participation

Participants are responsible for ensuring they are in good health and able to participate in the activities offered during the retreat.

Participation in all retreat activities is undertaken at your own discretion and responsibility. By attending, you acknowledge that you are responsible for your own physical and emotional wellbeing throughout.

Cold water swimming is optional. Any participant who wishes to take part must sign a cold water swimming waiver prior to participation and follow all safety guidance provided.

Please inform us of any medical conditions or special dietary requirements prior to the retreat.

9. Personal Belongings

We cannot accept responsibility for loss of or damage to personal belongings during the retreat. Participants are responsible for the safekeeping of their own possessions at all times.

10. Photography

Photographs and videos may be taken during the retreat for marketing purposes. Please let us know in advance if you would prefer not to be included.

11. Privacy Policy

Any personal information provided to Holly Rigby will be treated in accordance with our privacy policy.

12. Governing Law

These terms and conditions are governed by the laws of England and Wales.

13. Agreement

By booking a retreat with Holly Rigby, you acknowledge that you have read, understood, and agree to these terms and conditions.
